Dear visitors of our website and the associated travel services, we are pleased to welcome you here. We want you to feel safe and comfortable when visiting our website. Therefore, we would like to inform you about how we handle your data. The following privacy policy explains how we collect, use, and share personal data. Roomservice Deluxe is responsible for data collection and processing.

Handling of personal data

Protecting your privacy is very important to us. For this reason, our website is generally designed to be used anonymously. Information that we receive and store during your visit is used exclusively for internal purposes and to improve our website. The IP address transmitted by your web browser is stored temporarily to detect, limit, and eliminate disruptions or errors (e.g., attacks on our servers). After this period, the IP address is deleted or anonymized. The IP address is used strictly for the stated security purposes. Further details are explained under “Usage Data.”

1. Which data and sources do we use?

To continuously improve our services, general data is evaluated statistically in anonymized form. If you use our services, we only collect the data necessary to provide them. Any additional data requested is voluntary (fields not marked as mandatory).

Your personal data is processed solely for the requested service and to protect legitimate business interests. We use SSL encryption on our website to protect your data. You can recognize this by the closed lock symbol in your browser’s status bar and the “https://” prefix in the address bar.

Usage data / log files

When you visit our website, temporary usage data is stored in log files for statistical purposes, including:

  • Page requested
  • File name
  • Date and time of request
  • Data volume transferred
  • Access status
  • Browser type description
  • IP address of the requesting computer (anonymized after the period mentioned above)

This data is used to enable access, administer our systems, and improve website design. Data is stored in anonymized form in compliance with legal requirements. Personal user profiles are not created.

Collection, processing, and use of personal data

Personal data is only collected if you voluntarily provide it, for example, by contacting us via phone or email. Such data is processed only with your consent and for the requested purpose. Stored data is anonymized in line with legal requirements.

2. Legal basis

Data processing for contract fulfillment

We process your data for the execution of contracts with you, especially for the provision of booked travel services. This includes:

  • Title, first name, last name (all travelers)
  • Address data
  • Date of birth / age of travelers
  • Phone number of main contact
  • Email address (for booking confirmation)
  • Payment data (credit card or SEPA)
  • Employer and affiliation to the tourism sector (if applicable)

Personal data may be shared with service providers (e.g., hotels, airlines, payment providers) as necessary.

Data processing to fulfill legal obligations

We process your data to comply with legal requirements (e.g., tax, commercial law, travel regulations) pursuant to Art. 6(1)(c) GDPR.

Data processing for vital interests

Data may be processed in emergencies to protect vital interests, e.g., providing evacuation lists to emergency services (Art. 6(1)(d) GDPR).

Data processing based on legitimate interests

We process data under Art. 6(1)(f) GDPR for purposes such as:

  • Customer service and travel support
  • Service and product development
  • Marketing, market and opinion research
  • Legal defense and claims management
  • Fraud prevention and IT security

Data processing based on consent

Where consent is provided (Art. 6(1)(a) GDPR), e.g., for marketing via email or phone, it can be revoked at any time with effect for the future.

3. Data recipients

Data is only shared where legally permissible. Recipients may include:

  • Internal departments (sales, customer service, travel organization)
  • Service providers (IT, booking systems, logistics, printing)
  • Public authorities (e.g., tax offices, embassies)

We do not sell or otherwise market your personal data.

4. Website analytics and tracking

Cookies and analytics tools (Google Analytics, Google Ads, Google DoubleClick, Facebook Custom Audiences, etc.) may be used to improve usability and provide interest-based advertising. 5. Storage period

Data is stored for the duration of our business relationship and in line with statutory retention periods (2–10 years depending on law). Data based on consent is stored until revoked.

6. Data transfer to third countries

Data may be transferred outside the EU only where necessary to provide travel services, legally required, or with your consent (e.g., long-distance travel).

7. Your rights

Under GDPR, you have the right to:

  • Rectification (Art. 16)
  • Erasure (Art. 17)
  • Restriction (Art. 18)
  • Data portability (Art. 20)
  • Lodge a complaint with a supervisory authority (Art. 77)

8. Obligation to provide data

Only the data required to establish and perform a contractual relationship must be provided. Without this data, we may not be able to conclude or perform the contract.

9. Automated decision-making

We do not use automated decision-making within the meaning of Art. 22 GDPR. If this changes, you will be informed as required by law.

10. Profiling

We may analyze data to assess potential interest in products or services (“profiling” as per Art. 4(4) GDPR). This is done statistically and used for targeted customer communication.

11. Right to object

You may object at any time to processing based on Art. 6(1)(f) GDPR, including profiling. We will then cease processing unless compelling legitimate grounds apply.
